Part-time Financial Aid Data Support Specialist

Provides clerical and data entry services for the student financial aid office. Operates electronic data communication systems with outside agencies.

PRIMARY DUTIES AND RESPONSIBILITIES*

Responsible for retrieval of electronic financial aid records via electronic data systems

Responsible for transferring financial aid applications from the Department of Education secured site to the financial aid software system

Generates letters to procure requested or missing information from students

Generates award notification letters for students

Prepares files for verification and packaging review

Monitors student progress and no show reports; flags problems and refers appropriate cases for review

Responsible for posting and monitoring scholarship opportunities on financial aid web page

Responsible for posting financial aid forms on the financial aid web page

Works with financial aid advisor to post awards in financial aid software

Exports and imports generated loan files for loan processing, referring any loans with discrepancies for review

Reviews internal reports to identify students requiring student loan entrance counseling or signatures on master promissory notes and generates letters as appropriate

Prepares student loan exit interview packets to graduating students or those withdrawing from college

Generates default prevention letters to students from guarantor reports

Generates and updates in secure Department of Education website processed student aid reports needing corrections and/or signatures

Responsible for purging of files no longer needed for record retention

Performs other related tasks as required

SUPERVISION – Works under the general supervision of the director of financial aid

ATTENDANCE- Individuals in this position are expected to be available during the peak business hours of the college, and may occasionally be asked to work more than their regularly scheduled hours.

WORKING CONDITIONS – Conditions are those of a typical office environment, requiring frequent oral communication with students and colleagues, and the ability to enter data and written communications in electronic format in a timely manner

MINIMUM QUALIFICATIONS

  • High school diploma or GED and up to one year of college, vocational or business school
  • One to three years of related experience, or combination of education and experience commensurate with the requirements of this position
  • Knowledge of data entry and word processing (typing, editing, formatting documents)
  • 45 words per minute error free typing
  • Ability to learn financial aid software and other software as needed
