Registrar
Responsible for college registration activities and maintenance and integrity of all student records. Compiles data, surveys, and reports on enrollment and educational activities for administration, government, and other external agencies. Performs and approves official graduation audits.
PRIMARY DUTIES AND RESPONSIBILITIES*
Coordinates registration process, develops registration schedules and procedures, assigns registration responsibilities to appropriate college staff, updates and maintains administrative registration and advising software including web functions and MCCVLC site. Evaluates registration activities and makes changes to improve efficiency, serves as a liaison between instructional administration, faculty, and students regarding registration issues, canceled courses, and attendance. Follows up to make certain that situations have been resolved
Maintains accurate records, compiles data for preparation of various surveys and reports for college administration and staff, federal, state, and other agencies. Creates and generates reports as requested using the administrative computing system. Verifies and provides enrollment data requested by various agencies and complies with all federal privacy regulations and with all state and federal reporting requirements. Verifies athletic eligibility.
Responsible for maintenance of student records ensuring accuracy, integrity, and confidentiality of information. Monitors, adds, drops, and withdrawals and the issuing of student transcripts and other students information. Processes grade changes, course substitutions, prior learning credit, credit by exam, and academic amnesty. Evaluates applications for articulation credit. Ensures the accurate and timely input of grades and last dates of attendance; oversees the transfer credit evaluation process.
Responsible for departmental budget. Prepares and recommends annual departmental budget to administration, manages budget process, and approves and monitors office expenditures.
Uses computer to create reports, forms, and charts from oral instructions or notes; composes routine letters and memos, as well as correspondence requiring diplomatic resolution of challenging customer service issues.
Maintains the official college course taxonomy; responsible for production of catalog, proofs document for consistency of style and accuracy of information, and researches and resolves inconsistencies of data.
Responsible for graduation audits. Evaluates student records to ensure graduation requirements have been met. oversees preparation of preliminary graduation audits and give final approval before degrees are conferred. oversees ordering and mailing of diplomas to graduates.
Interacts with college employees, students, or outside contacts to provide information, answer questions, solve problems, or otherwise respond to legitimate requests.
Attends meetings, conferences, and workshops to keep updated on issues relating to registration procedures and student records; attends college meetings and serves on college committees.
Provides training and in-services to board members, administration, staff and faculty as appropriate.
Supervises, trains, and evaluates assistant registrar, registration support specialist and student workers.
Performs other related tasks as required.
SUPERVISION – Works under the general supervision of the dean of student services.
MINIMUM QUALIFICATIONS
- Bachelor’s degree in education, administration, or related field
- Three to five years of experience in a community college, or combination of education and experience commensurate with the requirements of this position
- Proficiency in word processing and ability to learn a variety of computer software
- Ability to communicate effectively in an educational setting
