Student Services Support Specialist
Provides clerical support for Student Services.
PRIMARY DUTIES AND RESPONSIBILITIES*
- Prepares outgoing mail; sorts and distributes incoming mail. Prepares bulk mailings
- Facilitates communication between the college and the students through mailings and e-mail distribution.
- Maintains and compiles information for the electronic monitors in Grayling
- Administers graduate/leaver survey including tracking of responses using spreadsheets by program of study, student feedback reports, and maintains electronic files.
- Designs and distributes The Bathroom Wall for Grayling and Roscommon locations.
- Post Student Services and college information on social networking sites.
- Manages community/external job posting website.
- Assists in planning commencement activities and honors brunch.
- Order and proof graduate diplomas.
- Scan student records as needed.
- Manage college ID database and printer
- Assists with new student orientations (OAR)
- Answer Registrar and Advising main phone lines.
- Updates the college calendar with key dates and deadlines.
- Coordinate college visits to the Grayling location.
- Coordinates set up for vendors/visitors to Grayling campus.
- Manage and responds to all student emails sent to the student services and registrar email accounts.
- Schedule advising appointments using GradesFirst.
- Process class cancellations and sends correspondences to students.
- Process course registrations for credit, non-credit, dual, concurrent, and early college registrations.
- Handles confidential information by performing service to students in person, phone or email, answering questions about student services, and providing guidance.
- Processes student transcript requests and maintains transcript request documentation.
- Coordinate student activities as needed (i.e. Veteran’s Day)
- Provide back up support for Student Financial Services (SFS) including the handling of monies.
- Maintains office supplies by ordering and charging items appropriately.
- Performs other related tasks as required.
SUPERVISION – Works under the general supervision of the Vice President of Student Services/Registra
ATTENDANCE – Individuals in this position are expected to be available during the normal business hours of the college, and may occasionally be asked to vary their schedule and/or work overtime to meet department requirements
WORKING CONDITIONS – Conditions are those of a typical office environment, requiring frequent oral communication with students and colleagues, and the ability to enter data and written communications in electronic format in a timely manner
MINIMUM QUALIFICATIONS
- Associate degree or equivalent level of training.
- Three to five years of secretarial experience, or a combination of education and experience commensurate with the requirements of this position
- 45 wpm accurate data entry keyboarding
- Proficiency in word processing and ability to learn and use a variety of personal computer software
- Demonstrated interpersonal communications skills
- Ability to communicate effectively in an educational setting
