PRO 1.030 College Committees

During the first few weeks of the fall semester, the President, or a designee thereof, will appoint or reappoint chairpersons of the College’s various committees. Ad hoc committees may be constituted, dissolved, or reappointed as needs determine. Employees who are interested in an appointment to a specific committee shall submit their request in writing, to the chairperson, following approval of such request from the employee’s supervisor. The President, or a designee thereof, shall approve membership on all standing committees.

Committee chairs are responsible for:

  • Annual report
  • Goals
  • Mission
  • Scheduling of meeting
  • Appointing a recording secretary
  • Appointing members and notifying the President
  • Maintaining meeting minutes on the College’s designated internal drive

EXECUTIVE COUNCIL (EC)

FUNCTIONS:  The Executive Council’s primary function is to collaboratively work with the President to ensure that the Board of Trustee’s directives and policies are adhered to across the College and with its surrounding communities.  The Executive Council is responsible for the higher-level areas of concern that impact the divisional areas of the College as a whole. 

STRUCTURE:  Composed of the College’s senior leadership and many of the direct reports to the President.   This committee is collaboratively chaired by the President and is principally focused on the divisions/ departments that are directly responsible to the President of Kirtland Community College.  

COLLEGE ADVISORY TEAM (CAT)

FUNCTIONS: The College Advisory Team (CAT) serves as an information sharing and advisory forum for the purpose of reviewing and discussing college issues in functional areas of concern.  The chairperson of this committee shall be the President , or a designee thereof, with a rotation list of weekly facilitators to:

  • Develop lines of communication between the standing committees, faculty, staff, and students.
  • Make recommendations to the President based on information provided and discussed at CAT.
  • Review other issues as deemed appropriate by the President.

STRUCTURE: The College Advisory Team is composed of administrative staff and faculty. The President may appoint others to sit on the committee on an ad hoc basis where special expertise is required.

CURRICULUM AND INSTRUCTION COMMITTEE

FUNCTIONS:  The Curriculum and Instruction Committee is chiefly responsible for all matters related to curricula, including new courses/ programming, modifications, and deletions.  Including:  

  • Review of proposals for new programs and recommend new programs to the Board of Trustees for approval. 
  • Review of proposals for ending existing programs and recommend program termination to the Board of Trustees for approval. 
  • Approve the addition of new courses to the curriculum and the elimination of existing courses from the curriculum.  
  • Approve changes to course prerequisites.
  • Approve changes in credit and contact hours for individual courses.
  • Approve changes to degree and certificate requirements. 
  • Approve revisions to the college catalog.
  • **Changes to program and certificate course requirements that rise above the threshold of substantial change mandated by the Higher Learning Commission must be approved by the Board of Trustees and HLC.

STRUCTURE: The Curriculum and Instruction Committee is composed of the Vice President of Academic Affairs; the Vice President of Student Services; the Deans of Occupational Programs and Arts & Sciences; the Director of Nursing & Allied Health; at least one full-time faculty member each from Occupational Programs, Nursing & Allied Health, and Arts & Sciences; the Director of Library and Tutoring; the Director of Criminal Justice; the Director of Informational Technology; at least one academic advisor; the Director of Financial Aid; the Registrar; a part-time faculty representative; at least one student representative; and a representative from Kirtland Community College – Gaylord  if not otherwise represented by a category above. Others may be appointed to membership on the committee on a permanent or ad hoc basis.

GRANTS ADMINISTRATION AND OVERSIGHT COMMITTEE

FUNCTIONS:  Kirtland Community College’s Grants Administration and Oversight Committee will analyze grants before they are applied for, accepted, renewed, or continued to determine whether acceptance, renewal, or continuation would be appropriate.

STRUCTURE:  The Grants Administration and Oversight Committee is composed of those individuals who have experience in grant writing and general oversight.  At present, the Committee is composed of the following: Vice President of Business Services (Chair), Director of Finance, Accounting Specialist, Director of IT, Director of Institutional Research, Director of Nursing and Allied Health, Dean of Occupational Programs, Dean of Arts and Sciences, Director of Kirtland Foundation, Faculty Member, Vice President of Students Services, Vice President of Academic Affairs, Director of Police Academy/Criminal Justice, and the President.

INNOVATION AND PLANNING COMMITTEE 

FUNCTIONS:  The general purpose of the Innovation and Planning Committee is to explore programmatic options for Kirtland Community College that will support business, community, and industry needs while at the same time promoting enrollment.

STRUCTURE:  The Innovation and Planning Committee may be composed of a minimum of 1-2 members from each of the following groups: Board of Trustee Members, Faculty Members, Staff Members, Students, Community Members, Director of Institutional Research.

Co-chairs:  One academic administrator  and one faculty member 

STUDENT LIFE AND WELLNESS (SLAW) COMMITTEE

FUNCTIONS:

The Student Life and Wellness (SLAW) Committee will provide information, programs, activities, and incentives that support student engagement, well-being, and healthy lifestyles. The committee promotes a supportive campus environment that enhances students’ physical, mental, emotional, and social wellness, while fostering a sense of belonging and community involvement.

STRUCTURE:

The SLAW Committee will be composed of representatives from various departments and student groups across the college who share an interest in advancing student life and wellness. Membership may include representatives from Student Services, Counseling, Faculty, Administration, Campus Activities, Public Safety, Health Services, and Students.

COLLEGE WELLNESS COMMITTEE

FUNCTIONS: The Wellness Committee will provide information, programs/activities, and incentives to facilitate lifestyles that promote the overall wellness of employees and students.

STRUCTURE: The Wellness Committee will be composed of representatives from different departments and groups at the college with an interest in supporting the mission of the committee and may include: Administration, Counselors, Facilities, Faculty, Human Resources, Public Safety, and other Staff.

ASSESSMENT COMMITTEE

FUNCTIONS: The Assessment Committee supports institutional effectiveness and continuous improvement through: Oversight of Assessment Activities, Supporting Academic and Administrative Departments, Evaluating Program Effectiveness, Promoting Continuous Improvement, Ensuring Compliance with Accreditation Standards, Monitoring and Reporting Assessment Activities, Encouraging Stakeholder Engagement, and Identifying Resources Needs to Support Assessment. 

Primary goals for this committee additionally include:

  • Review programs’ assessment plans and processes and recommend ways for improvement.
  • Advise and educate faculty, departments, and colleges on assessment procedures and methods.
  • Review and implement policies for reporting assessment data.
  • Develop and implement policies for dissemination of assessment data.
  • Solicit proposals from faculty and award funds for initiatives to improve assessment.

STRUCTURE: The Assessment Committee is faculty-led and composed of: Faculty (one or more from each Occupational, Nursing & Allied Health, and Arts & Sciences); Vice President of Academic Affairs; Dean of Occupational Programs; Dean of Arts & Sciences; Director of Nursing & Allied Health; Director of Center for Teaching & Learning; and Instructional Designer.
