Serves as the initial contact person at the college’s Michigan Technical Education Center (M-TEC) site located in Gaylord, Michigan and performs a wide variety of duties in the student services area and provides services to students, faculty and staff.
PRIMARY DUTIES AND RESPONSIBILITIES*
Provides day-to-day student support services using the student information system and established processes/procedures for each functional area including admissions, registration and student accounts including verifying financial aid status, looking up account information, taking and posting payments and ensuring appropriate forms are completed for student files
Meets with potential students, provides printed materials, answers questions, sets up advising and testing appointments, assists with new student orientations, answers questions on applying for financial aid, payment deadlines, and setting up payment plans with the college’s third party provider; follows up with prospective students on required paperwork and documentation needed in order to complete admissions and financial aid processes
Proctors placement testing; explains testing process to students and makes testing appointments, inputs compass scores on student information system
Dispenses petty cash, prepares and makes weekly and month-end deposits
Manages and responds to all email correspondences sent to email@example.com; prepares outgoing mail, sorts and distributes incoming mail; places and receives telephone calls
Facilitates meetings and special events; takes facility requests, schedules rooms, makes catering arrangements, arranges for necessary services with other campus departments and prepares and posts signs and provides event information to the University Center for building display monitor
Monitors office supply inventory, orders office supplies, orders and sells bookstore supplies and restocks forms and merchandise as needed; participates in month end and annual physical inventory
Prepares semester room schedule for M-TEC classes and posts room signs as needed
Provides assistance for workforce development events; answers phone inquiries, processes applications and registrations, receipts payments
Performs other related tasks as required.
SUPERVISION – Works under the general supervision of the director of the M-TEC
ATTENDANCE – Individuals in this position are expected to be generally available year-round on a regular basis (3-4 days, up to 28 hours/week) during the peak business hours of the location, or as otherwise required.
WORKING CONDITIONS – Conditions are those of a typical office environment, requiring frequent oral and electronic communication with students, college staff, and the public, a high level of professionalism with clientele, a commitment to confidentiality, and the ability to enter and retrieve data and written communications in electronic format in a timely manner.
- High school diploma or GED and up to one year of college, vocational, or business school
- One to three years of secretarial experience, or combination of education and experience commensurate with the requirements of this position
- Proficiency in word processing (tables, graphs, charts, 45 wpm accurate keyboarding) and ability to learn and use a variety of personal computer software
- Demonstrated interpersonal communication skills
- Ability to work effectively with adults in an educational setting
